Faculty Member on a Performance Development Plan

This guide pertains to faculty members with an active Performance Development Plan (PDP) who are completing an annual post-tenure review.  You can find tips for crafting a clear, agreeable PDP with your department head here.  Faculty undergoing a five-year comprehensive post-tenure review should visit this page for relevant details about that process.

Overview

Your post-tenure review responsibilities are:

  • perform the activities necessary to meet, or make progress towards meeting, all PDP expectations
  • meet with your department head and peer mentor
  • prepare materials that demonstrate your progress towards completing the PDP and meeting expectations

Background Information

As a tenured NC State faculty member, you should be familiar with the Post Tenure Review of Faculty regulation.  This regulation describes the procedures for post-tenure review at NC State, including procedures when on a Performance Development Plan (PDP).  The regulation resides in the university’s Policies, Regulations and Rules (PRR) system.  It can also be accessed from the Provost’s web site under Annual and Post Tenure Review.  

You should also locate and be familiar with the standards and procedures documented in your department and college PTR rules. You should already have a Statement of Faculty Responsibilities

Timing  

You should know the length of your Performance Development Plan (PDP); PDPs are often more than one year in length.  When on a multi-year PDP, you will undergo post-tenure review annually until either a) you are found to meet expectations, or b) the length of your PDP expires.  

Each annual post-tenure review while on a PDP should be completed within the same academic year in which the review began.  

If your most recent evaluative milestone while on a PDP was that you met expectations, then your next comprehensive post-tenure review will occur in no less than five years.  Determine the first academic year after that “meets expectations” outcome and consider that Year 1.  Count subsequent academic years until you reach Year 5, and that is the year of your next post-tenure review at NC State.

If your most recent evaluative milestone while on a PDP was that you are making progress towards completing the requirements of the plan, but have not yet met expectations and the plan length has not expired, then you will be reviewed under the PDP again the next year.

If your most recent evaluative milestone while on a PDP was that you are making progress towards the plan but have not yet met expectations, and the plan length has expired, then next steps will vary.  You will need to consult with your department head regarding next steps, which could be a new PDP or other actions.

Mentoring

While on a PDP, you will meet at least twice annually with your department head and at least twice annually with an assigned peer mentor.  The peer mentor is in place to help facilitate your progress towards meeting the plan.  

Materials  

Each department has its own deadline for submitting materials; you should know it well in advance.

The materials you submit for the annual review(s) during a PDP are different from those required for a comprehensive five-year post-tenure review. Work with your Department Head to define the kinds of evidence to assemble and submit.  The evidence should show that you have either met the expectations of the PDP or are making progress towards completing the requirements in the plan.

Assessments, Process and Outcomes during a multi-year PDP

When evaluated during a PDP, if either the departmental PTR committee or the department head determines that performance does not meet expectations of the plan, then you will receive their assessments. Upon receipt of those, you have five (5) business days to submit an optional response.

Then, your materials, including the assessments and optional response, will go to the dean.  The dean will make determination of meets or does not meet expectations.

If all are in agreement that performance meets expectations, then the review is complete and your next comprehensive post-tenure review will be in no less than five years.

If all are in agreement that you are making progress toward completing the requirements in the plan, but do not yet meet expectations and the plan has not expired, then you will continue working towards completing the plan.

If the departmental PTR committee, department head, and dean assessments are not all in agreement, then the dean will consult with the committee and head and determine whether the review is concluded (meets expectations) or whether you will continue on the plan (does not meet expectations).

Assessments, Process and Outcomes in the final year of multi-year PDP

In the last year of a PDP, if either the departmental PTR committee or the department head determines performance does not meet expectations of the plan, then you will receive their assessments. Upon receipt of those, you have five (5) business days to submit an optional response.

If the dean agrees with the departmental committee and department head assessments that performance meets expectations, then the review is complete and your next comprehensive post-tenure review will be in no less than five years.

If the dean agrees with the department committee and department head assessments that you are making progress toward completing the requirements in the plan, but do not yet meet expectations, and the plan length has expired, then next steps will vary.  You will need to consult with your department head regarding next steps, which could be a new PDP or other actions.

If the departmental PTR committee, department head, and dean assessments are not all in agreement, then the dean will consult with the committee and head and make a final determination of the outcome.
